We have implemented a host of policies that ensure that clients
get the highest level of service – what clients have always
enjoyed from our team. First, standard to all omnis, we need
a minimum number of questions to field an omni. Once we have
that covered, fielding begins.
Our omnis are slated to go into field every 3rd Monday of
the month (11 times a year). We request that clients get their
questions to us by the 2nd Wednesday of the month.
Client Protocols:
- Client Confidentiality/Non-Disclosure Agreements: Protecting
your information is very important to us. We ensure this
by signing off a Confidentiality and Non-disclosure Agreement
with all clients. These agreements will cover a host of
related issues and subsequent Omni use for a period of two
(2) years.
- Compliance: Clients can be assured that our team abides
by the Code of Ethics of the Marketing Research & Intelligence
Association of Canada (MRIA)/Marketing Research Association
(MRA) and applicable federal privacy and protection of personal
information legislation.
- Quotations & Sign-offs: For each client, we will provide
a quote and contract. The contract will identify the undertaking
(referencing the quote) and the terms. Sign-off on the project
terms will be required by both parties.
- Clients will be invoiced for the entire amount of the
omni services contracted.
- Quick Turnaround: Assuming that clients have completed
and approved survey, clients will obtain a set of data tables
in five (5) business days. If over-samples are required,
seven (7) business days will be required.
- Revisions & Questionnaire Quality: We take the quality
and integrity of our surveys very seriously. Any requested
major revisions to the programmed survey will be subject
to an additional fee. Any concerns on questionnaires (e.g.
flow, wording and quality/ethical concerns) will be flagged
and be subject to a consultation fee should the client wish
to continue to place the instrument in field.
Sampling/Field Protocols:
- The Voyageur/Pioneer Omni will use sample exclusively
from Survey Sampling International (SSI) and similar independent
and panel providers. This will ensure all participants have
“opted in” and the sample has been vetted for all privacy
and confidentiality concerns.
- Judicious Use: We guarantee that no potential respondent
will be contacted more that twice a year, and wherever possible
we will limit contact to once a year per panel member.
- Representative Distribution: Our completions will reflect
the population distribution by region, with the clear understanding
that this is an online sample and survey (see table approximate
population distributions and our quotas).
- No survey will exceed 15 minutes. Should the circumstance
of a longer survey arise, our team will obtain more panel
sample and program the survey to efficiently rotate sections
to meet this guarantee.
- Language: In our experience, most clients are seeking
an English-language only online survey. However, should
a client need their entire questionnaire fielded in French/Spanish,
they can simply provide us with an approved translation
of the questionnaire – as we have the key demographic questions
already translated, this is primarily a programming issue.
If there is a quota on language, this will be treated as
an oversample, and clients charged accordingly. If the ENTIRE
survey is to be fielded in two languages, there will be
no oversample cost.
Should translation services be required, we simply charge
an administration fee plus the cost of translation.
- Over-sampling: In cases where a client seeks a sample
boost by region/demographic, we will complete the base omni
sample (n=1,200) and then subsequently continue the survey
with that client’s specific questions to meet their required
quota.
- Mail Engine Reinvestment: All project partners are committed
to reinvesting in panel contact mailing procedures to deal
with ongoing matters of internet security and more restrictive
spam controls. We have multiple-redundancy to data protection.
As well, distributed services and a multi-homed internet
backbone with full power outage protection means practically
no downtime.
Deliverables:
- Turnaround: Assuming that clients have completed and approved
survey, clients will obtain a set of data tables in five
(5) business days. If over-samples are required, seven (7)
business days will be required.
- We deliver banners (respectful of each jurisdiction) that
are based on industry standard layouts for data tables.
These include:
o Region
o Gender – Male/Female
o Age – 18-34, 35-54, 55+Education - HS, College/Tech (Community/Associate),
University (College)
o Household Income (3 breaks)
o Household Composition (Children/No Children)
There will be nominal charge for any additional banners.
